What we take on
We arrange and coordinate the services your groups need on the ground in Brazil:
- arrival and departure transfers at Galeão (GIG) and Santos Dumont (SDU) airports, and at the cruise terminal at Píer Mauá (Terminal Internacional de Cruzeiros do Rio de Janeiro);
- coaches, minibuses and vans for the whole program;
- guides for city tours and day trips (we confirm the guide’s language in the proposal);
- hotel rooms and other accommodation for the group;
- day trips and extensions, for example to Búzios, Angra dos Reis and Ilha Grande, or Paraty;
- New Year’s Eve on Copacabana and Carnival at the Sambadrome (Sambódromo);
- group dinners, venues and boat trips;
- one contact on our team for your tour leader or your clients during the trip.
How we work with agencies
- Request. You send us the brief; the list further down shows what helps us quote quickly.
- Proposal within 24 hours. It covers the program day by day, what each service includes, vehicles, guide languages, the price and the terms and payment.
- Confirmation. We book the providers only after you confirm the proposal.
- Delivery. The providers deliver the services, and we coordinate them day by day: timings, pickup points, changes.
- Contact during the trip. Your tour leader, or your clients if you prefer, has one contact on our team. Any change on the ground goes through us.
A person from our team replies the same working day. We work from 8:00 to 20:00 Rio de Janeiro time; you can write at any hour, and messages that arrive after 20:00 are answered the next morning.
Terms
- Net rates or commission: on request. Tell us which model your agency works with.
- Terms and payment are set out in the proposal.
- You pay nothing before you confirm.
- Cancellation and change terms for each group are written into the proposal. For New Year’s Eve and Carnival, our deposit is non-refundable once you confirm the booking, because seats, tables and tickets are reserved for your group.
- Provider names and contacts are shared with you after confirmation.
- Our fee is already included in the price.
What to send in a request
- Agency name, country and the person we should reply to.
- Travel dates, and how flexible they are.
- Number of travelers and tour leaders.
- Cities, and the order you have in mind.
- Services you need: transfers, hotels, guides, excursions, events.
- Budget level, for example mid-range or upscale hotels.
- The language your group needs on tours.
- Flights or cruise ship, if already known.
- Anything that affects the program: mobility needs, diets, children’s ages.
Send it in any format, a spreadsheet or a few lines in a message. Write to us.
Large groups
For groups of 50 people and more, we run the program together with a large local receptive partner in Rio. Your agency still deals only with us: one contact on our team for the brief, the proposal and the trip itself, and a single proposal with one set of terms.
